Are you a progressive administrator looking for your next challenge? The Toronto & York Region Labour Council has a permanent opening on its small and dynamic staff team. Reporting to the President or designate, the successful candidate will oversee and undertake the Council’s administrative functions, share responsibility for financial roles, and support our diverse campaigns.

This role is suitable for a self-starter with significant administrative experience. You will be responsible for performing a range of administrative, clerical, and financial functions. This position works closely with and provides administrative and organizational support to the President, Board, staff, and affiliates. Our small interdependent staff team, including the Administrative Assistant, contributes to effective team-based efforts and provides hands-on support for the organization’s varied activities.

Administrative Assistant Position

You are successful when you:

· Administer and coordinate the day-to-day work of the Labour Council, including correspondence, office management and maintenance, administering “Credential forms” from affiliates and related per capita payments, and maintaining procedural information.

· Provide administrative support to the President (or designate) and staff members to help ensure organizational goals are met.

· Plan, coordinate and implement meetings, events, the annual Labour Day Parade, and convention participation, from planning and budgeting to registration, agenda development, minutes, liaising with vendors, etc.

· Administer accounts payable and staff expenses, administer receivables from affiliate per capita and registration payments, do banking, support budget making, quarterly updates, and annual audits, and ensure financial support activities are in alignment with Labour Council financial protocols. Liaise with the bookkeeper on these tasks.

· Liaise with the bookkeeper regarding staff payroll, contract work, and vendors.

· Administer the Benefit Plan for employees and Retirees.

· Coordinate with the Communications and Data Coordinator regarding database and communications updates

· Handle relationships with our 16-member Executive Board and our 150 affiliates and their Delegates with accuracy, sensitivity and diplomacy, based on an understanding of their centrality to the work of this Labour Council.

· Support committee work as assigned.

· Provide communications support as assigned.

What you bring to the role:

· Significant administrative experience (minimum 3 years of wide-ranging office administration, with experience working in a labour, political, or advocacy environment preferred)

· Experience/knowledge of financial procedures

· Basic understanding and commitment to labour values and issues affecting working people

· Excellent verbal and written communication skills, advanced language and editing skills (a second language is an asset)

· Exceptional organizational skills and attention to detail

· Ability to use full Microsoft Office suite, Action Network/Nationbuilder/other database and communication programs, and social media channels

· Experience supporting senior leadership

· Adept at coordinating multiple time-sensitive projects and deadlines

· Punctual, efficient, self-motivated and flexible

· Ability to work independently in a fast paced and results-oriented environment

· Excellent interpersonal skills and able to work in a collaborative environment

· Evidence of leadership and initiative, tact, diplomacy, and creativity

· Willingness and ability to be available outside of normal working hours when required

The starting rate for the position is $1,479.17 per week increasing to $1,579.17 over the first year. The Labour Council offers a comprehensive benefits package.
